Toy Holds
This process allows members or staff to place a hold on a toy. Can’t place a toy on hold if it is a Hire Toy or a Duty Toy.
IMPORTANT
So, if the toy has the setting Reservation Toy = Yes, then the Hold button in member login will not be visible, see below screen shot.
Settings – Home > Settings
- Toy_holds = switch on toy holds function
- Mem_toy_holds_off = set to Yes and it will disable member holds
- Toy_hold_fee = fee for toy hold
- Toy_hold_period = number of days the toy will remain in toy hold wait area
- unpaid_holds_in_loans = Toy Holds are listed in Loans page if they haven't been paid for.
Holds Page Status Types
- PENDING = Hold not yet paid for
- ACTIVE = Hold paid but not yet ready for collection
- READY = Hold ready for collection
- LOANED = Hold process complete
- EXPIRED = Toy has not been collected within Toy_hold_period
Email Templates – Home > Templates
- hold_return – manual email (press button) sent when admin wants to notify the current loan member that a hold has been placed
- hold_ready – manual email (press button) sent when admin wants to email hold member that their toy is ready for collection and how long it will be available for
Version 1 - Toy Holds Process
- Member places hold via Member login by clicking pink Hold Toy button on a toy detail page.
Pop-up message says: “To secure your hold please pay $5 per toy. Total amount due is shown on the My Library page and payment methods are detailed on the Home page. We will email you once your toy is ready for collection.”
OR
Staff places toy hold via Holds page. Select toy number on Toy Detail page and Member number on Member Detail page (these numbers will show in Admin shortcuts row second from top of page) then click aqua Holds button on shortcut row.
In both cases, Admin Holds page Hold detail will show PENDING, Paid = No
- Member pays toy_hold_fee amount (can be done following placing the Hold or upon collection) and staff manually changes Paid to Yes via Holds or Loans page.
- If toy in library, Admin Home page and Holds page tell staff to put toy aside.
OR
If toy on loan, Staff hits Send Email Reminder button on Holds > Toy Detail page to email current borrower to let them know no renewals possible (hold_return). Hold status auto changes to ACTIVE
When toy is returned, Mibase alert tells staff to put toy aside.
Pop-up message says: “There is a hold on this toy. Please put aside, change Hold Status to **READY**, and send email.”
In both cases, staff puts toy aside and changes Status from ACTIVE to READY.
- Staff then hits Send Email button on Holds > Toy Detail page to email hold member to let them know toy is ready for collection (hold_ready).
Sending email sets notify_date to today and expire date to date calculated by ‘notify_date + toy_hold_period’.
Notes
• If toy is not collected by expire date then Status auto changes to EXPIRED and toy can be put back on shelf.
• If toy on loan, Status can’t be set to READY
• Toys with Holds can’t be loaned to another member or renewed.
Pop-up message says: “There is a hold on this toy and it cannot be borrowed. Please put aside, change Hold Status to **READY** and send email.”
