Loans/Returns Page (Session Page)

Overview

The Loans page doesn’t use session variables (user information isn't stored across different MiBase pages), so if you move away from the Loans page (eg, click the Members or Toys tab on the main menu) the member or toy you were just viewing will not automatically appear. And when you next return to the Loans page, it will be reset.

The most efficient way to use the Loans page is to have it loaded in its own window and leave it there. So you might open one tab for the Loans page and another tab for the Members page.

The easiest way to do this is to right click on the Members menu button, and left click 'Open Link in New Tab'.

The two pages will have different titles and favicons, so you can quickly switch from one to the other, leaving both in their current state.

You can even have all pages from the menu bar loaded at the same time.

Enter Member

Note: in this document 'Enter Member' means

  • place the cursor in the Member Number box and use a barcode reader to scan the member number, OR
  • place the cursor in the Member Number box, type the member number, and press Enter on the keyboard

Enter Toy

Note: in this document 'Enter Toy' means

  • place the cursor in the Toy Number box and use a barcode reader to scan the toy number, OR
  • place the cursor in the Toy Number box, type the toy number, and press Enter on the keyboard

Session Procedures

Entering Toys Using the Toy Number Box

  • If the member is blank and the toy is on loan – Loads Member
  • If the member is loaded and the toy is on loan by current member – Returns Toy
  • If the member is loaded and the toy is NOT on loan – Loans Toy
  • If the member is loaded and the toy is on loan by another member – Rejects Loan

Query Loan Status on a Toy

With current member loaded, use the Find Toy box to find the toy. This will not automatically loan or return the toy, it will just load the toy details

Find a Member by Member Number

Enter Member in Member Number box.

Find a Member by Find Member Box

  1. Click in the Find Member box and start typing any part of the member's or partner's name or member number.
  2. Select their name

Find Member by Toy on Loan

Method 1

If a member has a toy on loan and you know the toy number then simply Enter Toy.

If the member is blank this won’t loan the toy - it will load the member who has that toy on loan

Method 2

  1. Begin typing the toy number or name into the Find Toy box
  2. Select the toy from the list (left click on the toy description)

3. Then click on the blue member number button that appears to load the member

Returning Toys on Loan

Method 1

  1. Load the member
  2. Enter Toy (repeat for all toys)

Method 2

  1. Load the member
  2. Press Return All button (returns all toys on loan)

Method 3

  1. Load the member
  2. Press the green Return button next to each toy on loan

Method 4

  1. Click on the toy name in the toys on loan list to load the toy
  2. Press the green Return button

Method 5

  1. Select the toy using the Find Toy box (start typing toy number, toy name)
  2. Press the green Return button

Loaning Toys

Method 1

  1. Enter Member
  2. Enter Toy (repeat for each toy to loan)

Method 2

  1. Enter Member
  2. Find toy using Find Toy box
  3. Click Loan Toy button

Note: the Find Toy search box can be used to query a toy and load it without loaning or returning the toy.

Adding Alerts

An alert is the information that is presented in a popup box when a member or toy is loaded or a toy is loaned or returned.

There are 3 types of alerts

  1. Member Alert
  2. Toy Alert
  3. Part Alert – missing pieces

Add or edit a Member Alert

  1. Enter Member
  2. Press New Alert or Edit Alert
  3. Add or edit the member alert in the popup form
  4. Click Update Member Alert

To remove the alert, delete all the text in the box and press Update Member Alert.

Add or edit a Toy Alert

  1. Enter Toy
  2. Press New Alert or Edit Alert
  3. Add or edit the toy alert in the popup form
  4. Press Update Toy Alert

To remove the alert, delete all the text in the box and press Update Toy Alert.

Add a missing piece and attribute the piece to a member

  1. Enter Member
  2. Enter Toy
  3. Press New Part
  4. Add details to Enter Part alert box
  5. Press Add Part

Add a missing piece but not attribute it to a member

  1. Press Clear
  2. Enter Toy
  3. Press New Part
  4. Add details to Enter Part alert box
  5. Press Add Part

Add an alert to a missing piece

  1. Enter Toy
  2. Click on the alert description, in this case click on the words “Yellow Roll Cup”
  3. Change the Alert User box to Yes
  4. Press Update Part

Note: the description will change to font colour red, which means it will add an alert when the toy is loaded, returned or loaned.

To remove the alert, redo steps 1 to 6 above and change Alert User to No

Add a Payment to Member

  1. Enter Member
  2. Press Pay Now button
  3. Select Payment Category

  1. Check the amount – it will autofill
  2. Select Payment Method - eg, PayPal, EFT, cash

  1. Add a comment as required or leave blank
  2. Press Pay Now
  3. Press Ok

  1. To view the payments press Payments List

  1. The new payment will be the first entry in the list

  1. Press Hide Payments List if not required

Renewing a Toy

To renew an individual toy press the yellow Renew button in the same row as the toy.

The toy will be renewed and the status updated.

Changing a Toy's Due Date

Click on the date you want to change (mouse over will change the background colour to light green).

Click on the date (2020-02-22) and a calendar will appear, then select the new date (2020-02-29) and press the Change Due Date button

Additional Features

Clear

Press the Clear button to clear the member and the toy from the page.

Status Bar

The status bar provides toy loan and return information as it happens.

Loan Receipt

Press the Loan Receipt button to generate a printed receipt of loans, used by toy libraries with thermal receipt printers, or toy libraries that provide members with a printout of their toys on loan.

Override Button

Used if a member is approved to loan more toys than set by the member category. For example a member with '4 Toy, no duty' membership wants to loan 5 toys.

To enable, press the Override button and it will turn on and change colour to green until another member is entered.

Stats

This line will update every time a toy is returned or loaned.
